The Purchasers SQS Privacy Policy
The Purchaser via the Supplier Qualification System “SQS” Application assembles data into specific groupings. This technique allows authorised third parties to compile, submit, use, update and review information in a controlled manner. This information is password protected and is made available via managed servers.
The SQS data is detailed in varying heretical levels and is made available to the following authorised third parties:
- The Purchaser. A company who wishes to seek interest from companies who wish to sell either Goods or Services to them.
- Applicants “Unapproved Suppliers”. A company who wishes to sell to the Purchaser either Goods or Services and is yet to be qualified as an “Approved Supplier” under the SQS process.
- “Approved Supplier”. A company who wishes to sell to the Purchaser either Goods or Services and has obtained an Approved Supplier Status under the SQS process.
“Applicants” or “Approved Suppliers” accessing the SQS
“Applicants” or “Approved Suppliers” can gain access to their application data by accessing the SQS login page and entering their allocated User Name and Password.
What Information is Retained in the SQS?
Following an “Applicant” or “Approved Supplier” submitting their application to the Purchaser via the SQS process all of the completed information detailed in the application will be made available in a varying format to the Purchasers authorised representatives.
These representatives decide which companies will achieve SQS Approved Supplier Status as part of the pre-qualification process.
Once a company becomes an “Approved Supplier” under the process the Purchaser can review this data and rate or rerate a company based on their performance under contract.
The Use and Disclosure of Information The Purchaser Collects
The SQS is designed so that the Purchaser can review “Applicants” and “Approved Suppliers” information in real time.
The Purchaser takes all reasonable steps to ensure that only authorised third parties and their representatives have access to SQS data.
The Purchaser endeavours to ensure that all third parties and their representatives who access information via the SQS comply with the relevant privacy laws.
An “Applicant” and an “Approved Suppliers” Rights
“Applicants” and “Approved Suppliers” can review and update their company details at any time via their allocated User Name and Password at the SQS login page.
An “Applicant” or an “Approved Supplier” may amend or delete their company details contained on the SQS at any time.
The Purchaser will only disclose information about an “Applicant” or an “Approved Supplier” to third parties if required to do so under law.
Note: SQS information may be stored on servers outside Australia.
Security
The SQS application is password protected to allow only authorised users access to this application. There is also an SSL 128 bit option to protect data (optional). As far as permissible under law, the Purchaser accepts no responsibility for the unauthorised or misuse of data contained in this application and/or the destruction or loss of any data contained in the SQS.
Updating Information on the SQS
Assigned Purchasers representatives can review and update third party information within the SQS Supply Manager. Should the Purchaser wish to update an “Applicants” or Approved Suppliers” data authority to do so must be forthcoming from these parties in the form of an email forwarded to the Purchasers assigned SQS email address.
By having a facility within the SQS to update data all third parties can rely on real time information and ensure that data remains complete, accurate and up to date.
Updating This Privacy Policy
The Purchaser reserves the right to update this privacy policy at their sole discretion.
